Example: Projects and time

From a new project to work done

Here is how a service team can plan the job, do the work, log the time, and keep the manager up to date.

A common problem

A task list does not tell the whole story

The manager knows what should happen. Staff know what they did. But the task, time, files, and next date live in different places.

No clear ownerTwo people think the other person has the task.
Dates get missedLate work is found too late.
Time is a guessPeople try to remember hours at month end.
Files are scatteredThe team cannot find the latest work.
One job. One clear record.

A simple six-step flow

The person doing the work and the person checking it both know what happens next.

  1. 1
    Start the project

Save the job and the client

Add the project name, start date, client, and a short note. Add a budget and currency if you need them.

The whole team starts from the same job record.
New project Office Move Client: Green & Co. Starts: 12 August
  2. 2
    Plan the work

    Make milestones and tasks

Break the job into small steps. Give each task an owner, start date, due date, and time guess.

    Each person knows their part.
Move day milestone Book the van Pack the files Set up the new office
  3. 3
    Do the right task

    Staff open My Tasks

Each person sees open work, dates, and risk. They can open the exact task, add a comment, and use the latest file.

Less time is spent asking, “What should I do?”
My Tasks Pack the files Due: Friday Risk: Due soon
  4. 4
    Save the time

    Log time from the task

Add the hours and a short work note. Mark the time as billable or non-billable. The task needs a time entry before it can be done.

The time record shows the work behind it.
Time entry 2h 15m Task: Pack the files Status: Waiting for review
  5. 5
    Check the record

    The manager reviews the time

The manager reads the person, task, note, date, and time. They approve it or send it back with a reason.

Good entries are approved and locked.
Time approved The checked entry is now safe
  6. 6
    Watch the whole job

    Check health, progress, and deadlines

The manager sees projects that are on track, at risk, or late. With Invoicing, approved billable time or done tasks can become invoice items.

The next action is clear before the job slips.
Project health 6 tasks done 2 tasks left 1 deadline this week
